This notice explains what we do with your personal information when you book a journey or contact us. We are the data controller for that information.
What we collect
- Booking details: your name, email address, phone number, pickup and destination addresses, date and time of travel, number of passengers and luggage.
- Flight number, where you give it, so we can track your arrival.
- Notes you add to a booking, such as a child's age for a car seat or access instructions.
- Payment information: handled by our payment provider. We do not store your full card number.
- Messages you send us, and our replies.
- Basic technical data from your visit, such as IP address and browser type, used to keep the site running and secure.
Why we hold it, and our lawful basis
- To carry out your booking: performance of a contract with you. Without a name, contact number and the addresses we cannot provide the journey.
- To meet our licensing obligations: legal obligation. As a licensed private hire operator we must record particulars of every booking before the journey and keep those records.
- To answer your messages and handle complaints: our legitimate interests in running the service properly, and our licensing obligations where a complaint is involved.
- To take payment and prevent fraud: performance of a contract, and our legitimate interests.
We do not send marketing email unless you ask us to, and we do not sell your data to anyone.
Who we share it with
- The driver allocated to your journey: they receive your name, contact number, the addresses and any notes needed to complete the journey. Nothing more.
- Our payment provider, to take payment securely.
- Our hosting and software providers, who process data on our instructions.
- Transport for London or the police, where we are required to provide booking records. This is a condition of our operator licence.
How long we keep it
Booking records are kept for at least twelve months after the journey, because our operator licence requires it. Complaint records are kept for the same period so we can show what happened and what we did about it. Accounting records are kept for six years as tax law requires. After that, data is deleted or anonymised.
Because these are legal retention requirements, a request to delete a booking record cannot normally be met until the retention period ends.
Where your data is held
Our systems are hosted on servers within Europe. Where a provider processes data outside the UK, we rely on the safeguards permitted under UK data protection law.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct anything that is wrong;
- ask us to delete it, where no legal obligation requires us to keep it;
- object to, or ask us to restrict, certain processing;
- ask for your data in a portable format;
- withdraw consent, where we relied on consent.
To exercise any of these, contact us through the contact page. We respond within one month.
Cookies
We use only the cookies needed to make the site work: keeping your booking form state as you move between steps, and protecting forms against cross-site request forgery. We do not use advertising cookies or third-party tracking, which is why you are not being asked to accept anything.
Maps and address search
When you type an address, your search text is sent to an open-source address lookup service to return suggestions, and map tiles are loaded from a mapping provider. We cache results on our own servers so that repeated lookups do not leave our systems at all.
Complaining about how we handle data
Tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office (ico.org.uk), the UK's data protection regulator.
